Job Description:
We are looking for a reliable, organized, and creative Workshop and Operations Assistant to support the smooth day-to-day running of our operations in Jordan. This role is essential in maintaining the flow of retail and art spaces, workshops, events, inventory, and team coordination.
The ideal candidate should be detail-oriented, proactive, and possess excellent communication skills. If you have a creative passion or artistic hobby, we would love to have you join our team!
Key Responsibilities:
- Assist with the management of day-to-day operations, including scheduling, inventory management, procurement, and vendor relations.
- Ensure the art and retail space is always clean, organized, and fully stocked.
- Facilitate workshops and events, especially those geared towards children and families. Assist in coordinating materials and activities, ensuring a smooth experience for participants.
- Support in planning and coordinating events and workshops, ensuring all materials are prepared and ready.
- Maintain effective relationships with suppliers and vendors, ensuring timely deliveries.
- Track and monitor inventory of products and art materials, ensuring sufficient stock levels for events and retail.
- Conduct monthly system procurement orders for art supplies, products, and retail space needs. Manage inventory via Shopify and maintain safety stock levels.
- Support the team by ensuring tasks are assigned and completed on time.
- Assist with cash flow management and ensure cash is closed daily.
- Help track and manage sales, including art materials and products, using Shopify.
- Support external events, including vendor coordination and ensuring smooth operations.
- Assist with export processes, invoice handling, and writing proposals when needed.
- Maintain accurate records of transactions and assist in reporting.
- Develop and improve operational systems to streamline processes and improve efficiency.
Key Qualifications:
- Education: A Bachelor’s degree in Business Administration, Operations Management, Arts Management, or a related field is required. Alternatively, equivalent experience in a similar role will be considered.
- Proven experience in a support role within operations or project management.
- Strong problem-solving, organizational, and multitasking skills.
- Experience in facilitating workshops and working with children and families.
- Creative with a passion for art and working in the art industry (this can include hobbies or side projects).
- Good knowledge of inventory and procurement management, particularly using systems like Shopify.
- Excellent communication skills in both English and Arabic.
- Proficient in Microsoft Word & Excel.
- Ability to work well under pressure and in a fast-paced environment.
- Jordanian nationality.
Other Requirements:
- Strong collaboration skills and the ability to work independently within a small team.
- Ability to multitask and manage competing priorities effectively.
- Flexibility in work hours and shifts.
- Experience with art materials, workshops, or event facilitation is a plus.
- Ability to manage the space, keep it clean and organized, and ensure it is always ready for events and workshops.
- Comfort working with kids and parents in an interactive and creative environment.

Working Hours:
8 hours a day as per labor law. Shifts are scheduled based on operational needs, within store hours of 10:00 AM to 9:00 PM, and may vary accordingly.
